Privacy Policy for users of Generation IV International Forum (GIF) public website

The OECD and its Nuclear Energy Agency (NEA) providing technical secretariat to GIF are committed to protecting the personal data of users of its websites, which are an essential tool for advancing our mission and programme of work. 

This privacy policy describes the types of personal data we collect, how we use it, who has access and for how long. It also provides information on the rights provided to website users. The NEA provides technical secretariat services to GIF and administers its website, the management of personal data is subject to the OECD data protection rules.  Some activities supported by our website are further subject to specific data protection notices (e.g. partake in competitions, participation to events as speakers, etc.).

How we collect and use personal data

We collect personal data through the use of our website in two ways: data you directly provide to us and data generated by your activity on the websites. 

Data you directly provide. You can choose to voluntarily provide us personal data in the context of creating a public account, registering to webinars and events and subscribing to receiving updates about GIF activities. This data enables us to provide the services you have requested and may include your name, email address, phone number, organisation and job title. 

Data generated by your activity. In order to ensure the effective functioning and security of our websites and to better understand visitor behavioural patterns, as you browse our websites we automatically collect:

  • Log information such as the pages you visit, the time/date of your visit as well as your internet protocol (IP) address.
  • Device and software information such as your browser specifications and operating system

This information is collected through the use of various technologies, including cookies, which are small text files stored in your browser. If you have registered and are logged-in, your browsing activity is linked to your user credentials so that we can personalise your experience on our websites, including for future visits.

Access and storage

In general, access to your personal data is limited to appropriate staff within the organisation. In some circumstances we make your data available outside the OECD, such as for:  

  • Analytics: We use the third-party service Google Analytics, USA, to help us understand visitor behaviour by collecting and analysing data generated by your activity on our site. This data is stored using cookies and processed in a way that aims to protect your privacy. Google Analytics uses techniques such as IP anonymization to enhance privacy, ensuring that the data does not directly identify you. However, please note that the data may still be used to create anonymous user profiles to understand overall usage patterns.
  • Email communications: In addition to our built-in emailing function, we use third party services, namely Mail Chimp, USA, Zoom US, USA and Constant Contact, USA for sending bulk email communications such as newsletters, information about significant changes in the website, and webinars and other events notifications. These services store contact information that you provide to us during registration to events and webinars and subscription to updates from the GIF Website as well as information about your interactions with these emails, such as opens and clicks.
  • Online surveys: To run online surveys of user views we occasionally use Survey Monkey, USA and Microsoft Forms, USA in addition to the forms function that is built in the website. The website forms function is used for registration to events and webinars.
  • Maintenance of the website and IT infrastructure supporting its functioning: 
    • Niji SA, France is the company that has designed and developed the GIF Public Website, it is also the company that provides corrective and evolutive maintenance for the GIF Public Website. Within the framework of these maintenance services Niji’s teams might access parts of the website where personal data is stored. Niji is contractually bound to follow the OECD rules related to data processing and data protection and will only access personal data stored in the back office of the website if this is required for the maintenance they need to perform. 
    • The website is hosted in the cloud using Microsoft Azure services provided by Microsoft, USA.

Data you provide directly is typically kept until either (1) you unsubscribe from the service requested or until (2) two years after your last transaction. We store data about your activity on our websites for 2 years, after which time it is deleted. We keep data on email activity for two years, after which time it is deleted.  

Links to other websites

 

Where we provide links to websites of other organisations, this privacy policy does not cover how those organisations processes personal data. For example, we link to our profiles on a number of social media platforms such as Twitter, Facebook, LinkedIn, Instagram, YouTube, and Bilibili. We are not responsible for the privacy policies or content on third-party websites and encourage you to read the privacy notices of other websites you visit.  

How to contact us or exercise your rights

Under our data protection rules, you have rights to access and rectify your personal data, as well as to object to its processing, and to request erasure in certain circumstances.
